About the Role:
Do you enjoy creating welcoming, well-organized environments where people can do their best work? We are looking for an Office Coordinator to be the heart of our office operations and a key contributor to a positive, engaging company culture.
This role is central to our day-to-day office experience. You will ensure the office runs smoothly, looks great, and feels like a place people enjoy coming to - while partnering closely with People Business Partner and external vendors to support employees and business needs.
This is a part-time, site-based role, requiring regular presence in the office.
What you will do:
Act as the main point of contact for office operations, including maintenance, supplies, equipment, mailing, and vendor coordination.
Ensure the office environment is clean, functional, well-equipped, and comfortable for daily work.
Collaborate with facility providers, service vendors, and the landlord to maintain high office standards and coordinate repairs when needed.
Oversee ordering and inventory of office supplies, refreshments, and essential items.
Lead the planning of team-building activities, social events, and initiatives that strengthen company culture.
Partner closely with HR to support administrative processes and onboarding logistics.
Manage the site’s office and social budget in a structured and responsible manner.
What we expect:
Higher education in business administration, management, or a related field - or equivalent practical experience.
1 or 2 years of experience in office coordination, office management, or a similar support function.
Fluency in Romanian and English, both written and spoken.
Strong attention to detail and organizational skills.
High level of ownership and accountability.
Proactive and creative mindset, with the ability to suggest and implement improvements.
Excellent time management skills, with the ability to prioritize and manage multiple tasks effectively.
Experience we consider as a plus:
Experience working in a tech or international company.
Budget ownership or vendor contract experience.
Event planning or employee engagement experience.
Familiarity with health & safety or office compliance topics.
